Most small businesses do not need a big AI strategy. They need a few repetitive tasks to stop eating up the team’s day. That is the best place to start with automation.
Start with the work people dislike
Look for tasks that are repeated every day or week, follow clear rules and involve copying information between tools. Examples include sending follow-up emails, updating spreadsheets, entering orders, routing enquiries and preparing weekly reports.
Pick one workflow, not ten
Choose a single process, write down each step and note who does it today. A small, well-defined project is easier to build, test and measure than a company-wide programme.
Where AI helps and where plain automation is enough
If the steps never change, simple rules-based automation is cheaper and more reliable. AI is useful when the input is messy, such as reading emails, summarising documents, answering common questions or sorting requests by topic.
Keep people in the loop
Let automation do the preparation and let a person approve anything sensitive, such as customer replies or payments. You can loosen the checks as you build trust in the results.
Measure the result
Before you start, note how long the task takes and how often it goes wrong. After a few weeks, compare. If it is not saving time or reducing errors, adjust or stop.
